This article describes how to use the Fax Upload application, including system requirements, downloading the application, sending faxes from a computer, adding cover sheets, incorporating signatures and annotations, understanding fax upload limitations, changing fax account phone numbers, and viewing the fax upload log.

The Fax Upload application allows to send any document from your computer to any fax machine or to your Fax mailbox.

The Fax Upload Application Limitations

  1. The Fax Upload application is available only for accounts set up in the North America region.
  2. The Fax Upload application is supported exclusively on Windows operating systems and is not compatible with macOS or any other operating systems. The supported OS include:
    • Windows 9x (95, 98, & 98 SE)
    • Windows ME
    • Windows NT 4.0
    • Windows 2000 Professional
    • Windows XP (32-bit)
    • Windows Vista (32-bit)
    • Windows 7 (32-bit & 64-bit)
    • Windows 8 (32-bit & 64-bit)
    • Windows 8.1 (32-bit & 64-bit)
    • Windows 10 (32-bit & 64-bit)
    • Windows 11 (64-bit)

Downloading Fax Upload Application

To download the Fax Upload Application click Download here. Alternatively,

  1. Log in to your Web Fax number with fax number and PIN.
  2. On the left side panel select Tools.
  3. On the Tools page select the Fax Upload Application.

Note: If you don't have the Tools tab, your account is on the Online Fax only platform. Refer to the Knowledge article on Differences between the Fax Upload Application and Online Fax for more information. 

Sending a Fax from Your Computer

To send a fax from your computer: 
  1. Verify that you are connected to the Internet.
  2. On your Windows OS, open the document you want to send.
    Note: The file name of the document should not contain any special characters and spaces and should be less than 40 characters long.
  3. Send your document to print. When choosing a printer device, select device called Upload New Fax.
  4. On the Upload New Fax window, confirm that you are on the Options tab. Check the appropriate boxes to send the document to a fax machine or to your Fax Mailbox.
    • Documents sent to a fax machine will be received in the fax format.
    • Documents sent to your Fax Mailbox can be managed via the web. This allows you to forward them to any fax machine, forward via email, or view them as PDF, TIFF, or JPG.
      Note: Checking the Send to Fax mailbox option will save this fax in the Saved/Uploaded tab on the fax web portal.
  5. To send a document to one or more fax machines, enter the 10-digit fax number(s) separated with a semicolon, or press CTRL and Enter and enter each fax number on a separate line in a highlighted field.
  6. Click Send to send a document to one or more fax machines or to your Fax Mailbox.

Notes:

  • Important: Do not rename the Upload New Fax printer; it will break the ability to fax.
  • Under the Fax Account Phone Number field, there should be an actual Web Fax number. There should not be the Addon number pointing to the Web Fax.
  • Sending a fax may take up to 3 seconds per page, depending on the size and type of document being faxed and the speed of your Internet connection.

Adding a Cover Sheet

To add a cover sheet before sending a document, follow these steps:

  1. On the Upload New Fax window, navigate to the Options tab, and click Add Cover Sheet.
  2. The Cover Sheet window will open.
    • ​​​​Under From: enter your name and company name. 
    • Under To: enter the recipient’s name and company name.
      Note: If you are sending a document to more than one fax number, the fax numbers will not show up in the Fax Number field.
    • Type the Fax subject into the Subject box, with a limit of 40 characters maximum and 1 line.
    • Any additional comments can be added in the Comments box.
    • You can also modify the default message in the Footer box.
  3. Click OK to return to the main options page.

All information added will be automatically saved and will auto-populate into any cover sheet you begin.

Signature and Annotation

You can add your signature or any text annotation to a document you want to send as a fax. To do this, first, you must load your signature.

To load a signature follow these steps:

  1. Write your signature on a blank piece of paper.
  2. Scan your signature into your computer.
  3. Use Microsoft Paint to open the file that contains your signature.
  4. Use the selector tool to highlight your signature (draw a rectangle around it).
  5. Right click on your signature and select Copy.
  6. Click Edit.
  7. Select Copy To.
  8. In the Save In drop-down box, navigate to C:\Program Files\Fax Upload.
  9. Save your signature in a .BMP format and name it SIGNATURE.BMP.

To add a signature or any type of text annotation to a document you wish to send as a fax, follow these steps:

  1. In the Upload New Fax window, on the Options tab, click Add Signature/Annotation.
  2. Click Signature and place it where it should appear on the document.

Editing Your Signature 

  • To resize the signature, place your mouse pointer on the border, click and drag outward.
  • To move the signature, right-click on the signature, select Move, then move the signature to the desired location.
  • To delete the signature, right-click on the signature then select Delete.
  • To add an annotation to your document, click Annotation then move the annotation icon to where you want the annotation to appear. Begin typing in the field provided.
  • To change font in the annotation, highlight the text within the annotation box you wish to change, then right-click and choose Font.
  • To move the annotation, right-click on the annotation, select Move, then move the signature to the desired location. 
  • To delete the annotation, right-click on the annotation then select Delete.
  • To preview how your document will look with the signature and/or annotations, click Preview.

To save edits, click Accept Changes.

Changing your Fax Account Phone Number

To change your fax account phone number, follow these steps:

  1. Navigate to the Upload New Fax window.
  2. Switch to the Options tab.
  3. Click Change button.
  4. Enter the new phone number associated with your fax service.
    Note: If you have a 4.0 account, use an 11-digit phone number that includes the country code digit "1" at the beginning. For accounts on version 3.5 use a 10-digit phone number without the digit "1".
  5. Click OK.

Fax Upload Log

The Fax Upload Log allows you to view a list of all the documents you have uploaded, as well as all documents you have sent to fax machines or to your Fax Mailbox.

The Fax Upload Log contains:

  • Date and Time Sent
  • Document Name
  • Total number of pages
  • List of Fax Number(s) Sent To
  • Sent to Fax Mailbox (Yes or No)
  • Status (Upload Successful, Upload Unsuccessful, or Error Message)

To view the Fax Upload Log, follow these steps:

  1. Go to the Log tab.
  2. Click View Log.
