This article explains how to manage an independent Voicemail Box with its own extension and possibly a dedicated phone number. It includes instructions for creating, editing, checking, deleting, and disabling Voicemail Boxes, forwarding calls to a Voicemail Box, configuring settings, and receiving notifications.

Voicemail Box is a separate voicemail box that is not associated with other objects on the account. Voicemail box has its own extension number and may have a phone number assigned. 

You may forward calls to Voicemail Box from:

  • Auto-attendant menu options or timeout settings
  • Hunt Group (Basic or Advanced) menu options or timeout settings
  • Virtual extension
  • User's on General Resource Call Forwarding settings

Create New Voicemail Box

To create a new Voicemail Box:

  1. As an administrator, log into Control Panel.
  2. Navigate to Services > UNIVERGE BLUE® CONNECT on the top of the screen.
  3. Select Resources & Utilities on the left navigation pane.
  4. Click Create green button.
  5. Select Voicemail box.
  6. Assign a Name and Extension number.
  7. Set voicemail PIN
  8. Enter email address for receiving voicemail notifications. 
  9. Set a Location where this Resource will be used.
  10. Click Create voicemail box

Note: There is no limit on the number of Voicemail Boxes on the account.

Edit Settings 

  1. As an administrator, log into Control Panel.
  2. Navigate to Services > UNIVERGE BLUE® CONNECT on the top of the screen.
  3. Select Resources & Utilities on the left navigation pane.
  4. Click on the Voicemail Box name.

You can change the following settings on the General tab:

  • Update the Name.
  • Change the Extension.
  • Assign a Phone number for direct dialing from other phone providers.
  • Change the Location.
    Note: If you made any adjustments on this tab, make sure you click Save Changes before navigating to a different tab.
To configure and manage your voicemail settings and notifications: 
  1. Navigate to Voicemail settings menu item on the left-hand side. Clicking on this will take you to the page where you can manage your voicemail settings.
  2. In Voicemail settings, you may:
    • Choose a voicemail greeting: You can select a pre-recorded greeting or upload a new one by clicking on the dropdown menu next to Greeting.
    • Reset the Voicemail PIN: Clicking on Reset will guide you through the process of setting a new PIN.
    • Set up the Operator Number: The Operator number section lets you set up a number that will be dialed if a caller presses 0 during your voicemail greeting. If this is not set up, it will show as Not setup, and you can click this to configure it.
    • Enable or Disable Auto-deletion of Voicemails: You can check the Autodelete voicemail after box to automatically delete voicemails after a specified number of days. Enter the number of days in the provided field.
      Note: Maximum storage for voicemail is 50 Mb regardless of storage time. If the limit is exceeded, no new voicemail messages will be saved. 
    • Enable Voicemail Transcription: Checking this box enables voicemail transcription, where your voicemails are transcribed into text.
    • Enable and set up email notifications for new voicemails: You can enter the desired email address in the Email for voicemail field. Under this section, you may:
      • Choose to include the voicemail transcription in the email by checking the Include voicemail transcription box.
      • Choose to include the voicemail audio file in the email by checking the Include voicemail file box.
      • Delete Voicemails on Server. If you check this option, the voicemail will be deleted from the server once the notification is sent.
      • Mark voicemail as read after notification sent. If you want the voicemail to be marked as read after sending the notification, check this box.
      • Enable SMS Notification for Voicemail. You can check the Send SMS notification box to receive an SMS alert when a new voicemail is received. Enter the phone number where you want to receive these notifications.

After configuring your voicemail settings, you must click the Save changes button at the bottom to apply all your changes.

Check Voicemails

There are following options to check the voicemails:

  1. Receive email notifications.
  2. Via the phone on your account.
    1. Press * EXT from any phone on your account.
    2. Press # when the voicemail greeting begins.
    3. Enter EXT followed by #.
    4. Enter PIN followed by #.
    5. You will access Command Mode.
      1. Press 1 to listen to new voice messages
      2. Press 2 to listen to old messages
      3. Press 3 for personal options — this also allows you to update your voicemail greeting.

  3. Check voicemail via web interface:
    1. As an administrator, log into Control Panel.
    2. Navigate to Services > UNIVERGE BLUE® CONNECT on the top of the screen.
    3. Select Resources & Utilities on the left navigation pane.
    4. Click on the Voicemail Box name.
    5. Navigate to Voicemails tab.
    6. From here you can  Play,  Download, and  Forward the voicemail.

Delete Voicemail Box

  1. As an administrator, log into Control Panel.
  2. Navigate to Services > UNIVERGE BLUE® CONNECT on the top of the screen.
  3. Select Resources & Utilities on the left navigation pane.
  4. Check the Voicemail Box you wish to delete.
  5. Click Delete.

Disable Voicemail Box

Voicemail can be disabled for Users on the account along with the following services:

  • Resources
  • Hunt Groups (Basic and Advanced)
  • Auto Attendants

To disable voicemail,

  1. As an administrator, log into Control Panel.
  2. Navigate to Services > UNIVERGE BLUE® CONNECT on the top of the screen.
  3. Access the voicemail settings for the user/service you would like to disable voicemail for.
  4. Toggle the Enable voicemail option.
